Office 365 is an increasingly popular option for those who are interested in getting a new version of the Office suite. It offers a lot of new features and programs, along with a new pay structure that can be quite attractive. The downside, though, is that Office 365 can be a little difficult to understand up front. There are far more versions than with the traditional Office suite, and finding the one that is perfect for you can be a little intimidating. What Is Office 365?
This is the best place to start with all your Office 365 questions. What is Office 365, anyway? The easiest way to see how 365 is different from traditional suites is to make a direct comparison to Office 2016. Office 2016 is the latest traditional Office suite. When you buy it, you pay a one-time fee upfront and can then make a single install on one computer, either through download or through disks.
Office 2016 still has all the traditional suites you would expect:
- Home & Student
- Home & Business
- Professional Plus
Those all include some variation of the core programs:
Some, but not all, editions also include:
That’s Office 2016. Office 365, in contrast is not a one-time pay, one-download suite. Instead, you subscribe to Office 365 and pay a small amount either monthly or yearly. In exchange, you get a much larger number of suite options with more programs and features. To begin with, almost all Office 365 editions include all of the above programs. All of them include one TB of cloud space through OneDrive. And most of them include multiple installations. Perhaps the biggest difference, though, is that Office 365 allows you to update to the latest edition of Office without any extra cost. So, if you bought Office 365 today, you’d get all the Office 2016 programs. However, when Office 2019 comes out, you’ll get that suite as an automatic download.
What Are my Office 365 Options?
Broadly speaking, Office 365 can be split into three major categories:
- Home Business
- Small Business
- Big Business
The difference between small and big business is the number of users the suite can allow. Small business suites are for businesses that will have between one and 300 users, while big business suites are for more than 300 users. Office 365 for big business can accommodated unlimited users.
Your major Home editions include:
- Home Business
These two suites are designed for non-business use, which includes simple every-day needs, as well as student needs. Both include the full suite of programs, including Publisher and Access (on PC only). You also get that complimentary one TB of cloud space, as well as 60 minutes of Skype call time every month. The only difference between the two is the number of installs allowed. Personal allows for just one install, like a traditional suite, while Home is more like most other Office 365 suites, and allows for up to five installs on different devices.
On the Small Business side, your main options include:
- Business Essentials
- Business Premium
Essentials is something of an outlier among most of the 365 suites. It is focused primarily on online communication. So, you get a business email network through Exchange, as well as a file storing and sharing program for sharing work with colleagues through SharePoint. You also get the Lync messaging program. What you don’t receive is the actual suite of Office programs on your computer. Instead, you can use the online versions. This works well for those businesses that are completely linked to the internet and don’t need offline programs. Business is the nearly the opposite of Essentials. You don’t get any of the online communication programs, but you do get the full Office suite on your desktop. Premium gives you both. You get everything from Essentials and everything from Business, giving you a complete Office package for your business.
For your Big Business options, you have a number of choices, but the most popular are:
- Enterprise E3
- Enterprise E5
Professional Plus, or ProPlus, is closest to Business when comparing suites. Here, you get all the programs on your desktop, like with Business, and just like with Business, you don’t get the Exchange email network or the online communication programs. You do get multiple installations and Skype for Business, although most of the features for the program require separate licenses with ProPlus (unlike the Enterprise suites). This is an excellent option for those businesses that already have a corporate network they are happy with, including business email and other communication benefits. In that case, ProPlus offers everything a big business may still be lacking.
Enterprise E3 gives you far more than any of the suites mentioned before it. You get everything that comes with Premium, plus a completely functional Skype for Business, plus a number of additional security and data protection features. These include data loss protection, identity and access management, and more advanced threat protection.
Enterprise E5 offers you everything in E3, and then some. Here, you get even more security and data protection, plus business analytics through Microsoft BI. As you can see, there are a lot of suite options with Office 365, and these are only the most popular. To choose the suite that’s right for you, decide which category your needs fit into (Home, Small Business, or Big Business), and then decide which features you need to accomplish your goals. From there, just decide which suite offers the price you are comfortable paying.
What Is an Office 365 Product Key?
This is a common question for those who are interested in purchasing Office 365. Many hear about the product key and worry they won’t be able to find one so they can download their suite. Rest assured, the product key is delivered to you when you make your purchase. In fact, it is probably in your confirmation email. The product key is a 25-digit number that is used to connect your Microsoft account to the Office suite you’ve purchased. You simply go to www.setup.office.com, sign in with your Microsoft account (Hotmail, Outlook, XBox Live, etc.) and follow the menus until your are prompted to put the code in.
From there, you should be able to easily get your Office suite for download. Product keys also come with physical copies of Office. They are usually on the back of the box. These can be helpful if you ever need to reinstall or if you lose your Office disk. Which brings up an important point: always keep track of your product key. You may need it later if you switch computers or if there are some problems with your software. So, keep the number in a safe place.
